Terms and data

Your account details (name, studio name, email), everything you add to Memory (instructions, tone, story, context, uploaded files, images and links), the quotes and projects you create, and the invoices you build.

Uploaded files are stored as extracted text so quotes can draw on them. Images and logos are stored as data on your account.

Bank account numbers, sort codes, IBANs, card details and any other payment credentials. The Invoice table has columns for the number, the dates, who it is to and from, the line items, the currency, the tax rate and your closing note. It has no column for any of the above.

An invoice PDF is built fresh each time you download one, and no copy of it is kept. You type the payment block at that moment, it is written into the file your browser receives, and nothing about it reaches the database. So the record of the invoice is stored and the details for paying it are not.

Publishing a quote puts it at a web address that anyone with the link can open. The address is long and unguessable, and it is not listed anywhere, but it is not behind a login. Unpublish a quote to take it offline.

Quotes are drafted by an AI model from the brief you provide and whatever in your Memory is relevant to that job. That content is sent to Anthropic, who provide the model, to produce the draft.

Anthropic delete API inputs and outputs within 30 days, and under the commercial terms Freely uses they do not train models on them. Drafts can be wrong. Prices, hours and timelines are estimates and every quote is yours to check and edit before you send it.

Four companies are involved and no others. Neon host the database, in Frankfurt, and your content stays in the EU. Vercel run the application and store none of your content. Anthropic receive the text described above when a quote is being written. Resend send the email: sign-in links, and the quote when you send one.

No analytics company, advertising network or data broker receives anything about you, your projects or your clients. Freely records which features are used, as counts with no names or free text in them, and that data never leaves the database.

Each of the four is bound by a data processing agreement rather than a promise, and each is independently audited to SOC 2 Type 2 every year. Vercel's agreement says plainly that they will not access, use or disclose customer data except as needed to run the service or to comply with the law. Neon's terms include a GDPR data processing agreement and they publish their own list of subprocessors. Anthropic's retention and training position is described above.

One person: whoever runs Freely. No other company holds an account on this database.

That access is used to keep the service running, to look into a fault you have reported, to stop misuse, and where the law requires it. Those are the only reasons.

When a client accepts a published quote, we record the name and email they typed, the time, and the IP address the acceptance came from, as a record that it happened. This is a simple electronic signature. For agreements where you need a formal audit trail, use a dedicated e-signature service.

You can edit or delete quotes, projects, invoices and Memory items at any time. Deleting your account removes the data associated with it.

Freely is in testing. Nobody is being charged, there is no company behind it yet, and it is not being run as a business. That does not make it a charity, and it does not make any of the promises on this page softer: the obligations in the agreement below apply whether or not anybody is paying. If Freely starts charging, you will be told before anything changes.
